Migration Planning

7 min read

Migration Is the Highest-Risk Phase

Switching affiliate platforms carries real risk. Broken tracking links lose attribution. Mismatched data loses commission history. Poor communication causes affiliates to lose trust. A structured migration plan reduces these risks and ensures continuity for both your operations and your partners.

Data Migration Checklist

  • Partner records: Affiliate profiles, contact information, verification status, and compliance documentation
  • Deal structures: All active commission agreements, including per-partner overrides and special terms
  • Historical data: Conversion history, commission history, and payment records
  • Creative assets: Banners, landing pages, and marketing materials linked to the current platform
  • Tracking links: All active affiliate links and their associated parameters
  • Pending payouts: Unpaid commissions that need to carry over to the new platform

Link Preservation

Affiliate tracking links are distributed across websites, emails, social media, and paid ads. If those links break during migration, you lose attribution on traffic that affiliates are actively sending. Plan link migration carefully: set up redirects from old tracking URLs to new ones, or use a domain-level redirect strategy that preserves parameters.

Parallel Running

PhaseDurationPurpose
Setup and configuration1-2 weeksConfigure new platform with deals, rules, and partner data
Parallel tracking1-2 weeksRun both platforms simultaneously and compare conversion data
Validation3-5 daysVerify data match between old and new platform within acceptable tolerance
Cutover1 daySwitch all traffic to new platform, disable old tracking
Post-migration monitoring2-4 weeksMonitor for data discrepancies, broken links, and partner complaints

Affiliate Communication Plan

  • Pre-migration notice: Inform affiliates 2-4 weeks before migration about what is changing and what they need to do
  • Link update instructions: Provide clear instructions for affiliates who need to update tracking links
  • Portal access: Share new login credentials and portal URLs with step-by-step onboarding instructions
  • Support channel: Designate a point of contact for migration-related questions during the transition
  • Post-migration confirmation: Confirm to each affiliate that their account, deals, and historical data have been migrated

Validation Criteria

  • Conversion counts match between old and new platform within an acceptable margin (typically under 2% variance)
  • Commission calculations produce the same results for sample deals on both platforms
  • All active tracking links resolve correctly and attribute to the right affiliates
  • Partner portal displays accurate historical data, current deals, and payment history
  • Pending payouts from the old platform are accounted for and scheduled on the new platform

Do not skip parallel running. Even well-planned migrations surface issues -- tracking discrepancies, missing deal configurations, or broken link redirects. Parallel running gives you a safety net to catch and fix problems before they affect partner payouts.

Key Takeaways

  • Plan data migration covering partner records, deals, historical data, links, and pending payouts
  • Preserve tracking links through redirects to avoid losing attribution during the transition
  • Run both platforms in parallel for 1-2 weeks and validate data before cutting over
  • Communicate clearly with affiliates throughout the migration -- pre-notice, instructions, and post-confirmation
